Introduction
Lekhapal is a cloud accounting platform for Nepali businesses. It brings the counter, the stockroom and the books into one system: when you ring up a sale at the point of sale, the stock falls, the customer balance updates, the VAT is calculated and the journal entry is posted — in one step, with no re-keying.
This manual documents Lekhapal Retail.
How the modules fit together
Every module in Lekhapal feeds the same set of books. Understanding that flow makes the rest of the manual much easier to follow.

The important idea is that you never post to the books directly for ordinary trading. You record the business event — a sale, a purchase, a payment — and Lekhapal writes the accounting entry behind it. Manual entries exist, through the journal voucher, but they are for adjustments, not for day-to-day trading.
The typical order of work
For a business setting up for the first time:
- Create your account and verify your email.
- Fill in your business details under Settings.
- Create your units, brands and categories.
- Add your products.
- Add your customers and suppliers under Parties.
- Enter your opening balances — cash, bank and party balances as they stood on the day you started.
- Create users and assign roles for your staff.
- Start trading: POS, Sales or Purchase.
Opening balances first
Enter opening balances before you record your first transaction. It is far easier than reconciling them in afterwards.
How to read this manual
Each module page follows the same shape:
- What it is — a plain-language definition of the document or screen.
- What it helps you do — why the feature exists.
- The screen — an annotated screenshot. Click any screenshot to enlarge it.
- Example — a worked example with realistic figures.
Terms such as debit, credit, journal and balance sheet are explained once, in Accounting Basics, and used freely thereafter.
What you see may differ
Two things change what appears on your screen:
- Your subscription plan. Modules such as Manufacturing, HR and the Online Store are plan-dependent. Check My Subscription to see what is included.
- Your role. A cashier sees the POS; an accountant sees the books. See Roles & Permissions.
If a screen described here is missing from your menu, it is almost always one of those two reasons.
